When employees change their jobs or are moved to another department, it is more than likely that they are given new mailboxes on an Exchange Server environment. However, they may want to continue with some of the data that they had stored in their old OST files especially contacts, calendar items and old email. In fact, if they do not take steps to move their OST data elsewhere so that it can be easily accessed and their old mailbox is removed from the Server mailbox, it might even be difficult to access the old OST file. Orphaned OST files can only be restored using specialized ost recovery tools.
In order to avoid such a situation, it is best that you transfer all the data from your old OST file into a PST file - this will make it easy for Outlook to access all your old data as you start working with your new Exchange Server mailbox. The steps to transfer the OST data are as follows.
1. To begin with, set Outlook to prompt you to work offline or online. For this you can select 'Manually Control Connection State' and then, 'Choose the Connection Type when Starting'. Accordingly, when you start Outlook, you will be asked if you would like to work offline or online. At this stage, choose to work online.
2. Now, carry out a synchronization of all the folders between those stored in your local OST file and those stored in the mailbox on the Exchange Server. If the mailbox has already been deleted, you will get a synchronization error, and as stated already, you might have to carry out an ost recovery. More about that a little later. Once synchronization is done, you can log off and exit Outlook.
3. The final step is to transfer the contents of your recently synchronized OST file to a new PST file. After this last synchronization, the OST file will contain all the items stored in your old mailbox such as contacts, appointments, email items, and so on. Start Outlook - you will be asked if you would like to work offline or online. Choose to work offline. From the main Tools menu, select Services and then Personal Folders. You will now be able to create a new Personal Folder - name it appropriately and drag the current Mailbox to the new Personal Folder to copy it.
Once the information from the old OST file has been copied to the PST file, you can easily copy the information back into your new Exchange Server mailbox, once you reconnect to the server.
If your old mailbox has been deleted before you could carry out all the above steps, you are left with an inaccessible, orphaned OST file that can only be fixed through ost recovery tools. Use a tool such as Advanced Exchange Recovery from DataNumen to scan the orphaned OST file and recover the mail messages, folders and other items in them. In fact, Advanced Exchange Recovery recovers the items and stores them directly into PST files making it easy to copy them into a new Exchange Server mailbox.
